CLW Distributors Inc. ("CLW," "we," "us") respects your privacy. This policy explains what personal information we collect through clwdistributor.com and our business systems, how we use it, and the choices you have. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the BC Personal Information Protection Act (PIPA).

• Quote & contact requests. When you submit our contact form or email us, we receive the details you provide: name, company, email, phone, industry, estimated volumes, and your message.
• Customer account information. When you become a customer: billing and shipping addresses, contact people, order history, invoices, and payment records.
• Portal accounts. For users we issue portal credentials to: email address, role, and activity within the portal.
• Technical data. Our hosting provider records standard server logs (IP address, browser type, pages requested) for security and reliability. This website does not use advertising trackers.

2. How we use information

• To respond to inquiries and prepare quotes;
• To process orders, deliveries, invoices, and payments;
• To operate customer accounts and the customer portal;
• To meet legal obligations (e.g., tax records);
• To maintain the security of our website and systems.

We do not sell or rent personal information, and we do not use your information for third-party advertising.

3. Service providers we use

We use a small number of reputable service providers to run our business, and share only the information needed for each service:

• Website hosting (Netlify) — serves this website and receives standard server logs;
• Form processing (Web3Forms) — delivers your contact-form submission to our inbox;
• Business database (Supabase) — stores customer, order, and portal data;
• Accounting (Intuit QuickBooks Online) — stores invoices and accounting records. Our internal QuickBooks connector accesses only CLW's own company records and stores its access credentials on company-controlled equipment.

These providers may process data outside of Canada (e.g., in the United States), where it is subject to the laws of those jurisdictions.

4. Retention

We keep quote inquiries as long as needed to serve you, and customer and accounting records for the periods required by Canadian tax and business law (generally seven years). Portal accounts are removed when access is no longer needed.

5. Security

Access to customer data is limited to authorized CLW personnel with individual credentials. The customer portal requires login and has no public sign-up. Authentication tokens and business credentials are stored on company-controlled systems.

6. Your rights

You may ask us to access, correct, or delete the personal information we hold about you, subject to records we must keep by law. Contact us using the details below and we will respond within a reasonable time.

7. Cookies

This website is a simple informational site and does not set advertising or analytics cookies. The customer portal uses a session cookie/token strictly to keep authorized users signed in.

8. Children

Our website and services are intended for businesses and are not directed at children.

9. Changes to this policy

We may update this policy from time to time; the "Last updated" date above reflects the current version.
